Token Physics Privacy Notice

Effective date: July 29, 2026

The short version: Token Physics analyzes Snowflake AI usage inside your Snowflake account. Customer Physics does not receive your detailed spend, tokens, prompts, SQL, users, or recommendations. We receive only limited Marketplace information, minimal reliability telemetry, and information you deliberately send us.

1. About This Notice

This notice explains how Customer Physics, LLC, a Colorado limited liability company ("Customer Physics," "we," "us," or "our"), handles information in connection with Token Physics, our Snowflake Native App. It also covers related onboarding, support, feedback, and consultation communications.

Token Physics is built for organizations and their authorized workforce users. It is not intended for personal or household use or for children.

2. Information Processed Inside Your Snowflake Account

Token Physics uses Snowflake usage and account metadata to explain AI consumption and cost. Depending on the features enabled, this may include token and credit usage, models and functions used, timestamps, request and query identifiers, warehouses, roles, tags, and usage associated with Snowflake users.

This detailed information is processed and stored within your Snowflake account. It is used to create your reports, allocations, forecasts, and recommendations. Customer Physics does not routinely receive or access it.

Token Physics does not collect prompt or model-response content, raw SQL or query text, the contents of your business tables, passwords, private keys, or access credentials. We do not use your information to train Customer Physics or third-party AI models.

3. Information Customer Physics Receives

Snowflake Marketplace Information

Snowflake may provide us with information about organizations that view, install, trial, purchase, use, or cancel our listing. This may include company and Snowflake account information, an account or billing email when available, listing activity, subscription status, and aggregate listing consumption.

Reliability Telemetry

To identify and repair failures, Token Physics sends limited, account-associated error and warning information through Snowflake's Native App telemetry features. This may include a timestamp, app version, component, operation, internal error code and category, correlation identifier, retry result, and execution duration.

Reliability telemetry does not include prompts, responses, SQL text, token counts, spend, report results, recommendations, usernames, email addresses, named roles, named warehouses, customer object names, or credentials. We do not use reliability telemetry to evaluate sales opportunities or estimate your consulting needs.

Optional diagnostic logging may be offered for troubleshooting. It will be identified as optional and explained before it is enabled. Customers can inspect the app's telemetry settings and emitted records through Snowflake.

Information You Choose To Provide

We receive information you send through support requests, contact forms, email, surveys, or feedback tools. This may include your name, work contact information, company, message, app version, and the feature or page related to your feedback. Please do not include confidential or sensitive information unless it is necessary.

Token Physics may prepare a consultation summary for you. It is not automatically sent to Customer Physics. You decide whether to copy it, review or edit it, and paste it into an email to us. We receive only what you choose to send.

Website Information

If you visit a Token Physics or Customer Physics support page, we may receive ordinary technical information such as IP address, browser type, device type, pages viewed, and timestamps. We use Google Analytics to understand website use. Simple contact forms collect the information you enter.

4. How We Use Information

We use information we receive to:

  • provide, secure, maintain, and improve Token Physics;
  • detect, diagnose, and correct errors;
  • administer trials, subscriptions, billing, and Marketplace operations;
  • respond to support requests and feedback;
  • provide limited product onboarding and transactional or service communications;
  • respond when you request information about consulting services;
  • protect our customers, enforce our agreements, and comply with law.

General marketing email requires a separate opt-in. You may opt out at any time. We may still send necessary service, security, billing, and transactional messages.

We may use feedback to improve Token Physics, but we will not use your feedback as a testimonial or public endorsement without separate permission.

5. When We Disclose Information

We do not sell personal information or share it for cross-context behavioral advertising. We may disclose limited information to service providers that help us operate Token Physics and our business, such as cloud infrastructure, analytics, communications, support, and payment services. These providers may use information only to perform services for us.

We may also disclose information when required by law, to protect rights or safety, in connection with a merger, financing, acquisition, or sale of assets, or at your direction. Snowflake handles information under its own agreements and privacy terms.

6. Retention

We retain routine reliability telemetry for 90 days and submitted feedback for one year. We keep support, subscription, transaction, consultation, security, and legal records only as long as reasonably needed for their purpose or required by law. We may retain deidentified or aggregated information longer.

Information stored inside Token Physics remains in your Snowflake account until it is deleted, aged out by application settings, or removed through uninstallation, subject to Snowflake's own retention and recovery features.

7. Security and International Use

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can guarantee perfect security.

Customer Physics operates in the United States. If you use Token Physics from another country, information received by Customer Physics may be processed in the United States or other locations used by our service providers. Where required, we use appropriate safeguards for international transfers.

8. Your Choices and Rights

You can choose whether to submit feedback, request consulting, enable optional diagnostics, or receive marketing email. Depending on where you live, you may also have rights to access, correct, delete, restrict, object to, or receive a copy of personal information we control, and to withdraw consent where processing is based on consent.

Most detailed Token Physics information is controlled by your organization inside its Snowflake account. Requests about that information should generally be directed to your organization. For information controlled by Customer Physics, contact us using the email below. We may need to verify your request and applicable law may provide exceptions.

9. Changes and Contact

We may update this notice as Token Physics changes. We will update the effective date and provide additional notice when a change materially affects how we handle information.
